Office & Commercial Moving Crates in Kansas City: Relocate Without Downtime
Published May 17, 2026 · 7 min read
How office and commercial relocations use plastic crate rental to move faster, protect IT and files, color-code by department, and resume operations on Monday morning.
A commercial office relocation has one defining metric: time-to-productivity at the new space.
Every hour your team isn’t working is direct opportunity cost. Cardboard moves drag this metric out because of assembly time, breakdown time, box-failure debris, and sorting confusion at the new place. Plastic crate rental was designed specifically to compress this window. If you’re planning an office, medical practice, retail, or commercial relocation anywhere in the Kansas City metro, here’s how the crate-rental model fits — and where it doesn’t.
Why commercial moves favor crates
Five things compound in a commercial move that make crate rental clearly superior to cardboard: **1.
Uniform sizing enables fast loading.** A 50-employee office move with cardboard takes a moving crew most of a day to load efficiently because of mixed box sizes and constant Tetris reconfiguration.
The same move with crates loads in 2–3 hours because every container is identical. 2. Color-coded labels enable instant departmental sort. Crates can be color-coded (we offer colored adhesive labels) so the move team places each crate in the right department’s zone at the new office without consulting a manifest. Sorting cardboard at the new place adds 1–2 hours per department. 3. Lockable lids protect confidential contents. Files, HR records, contracts, client information — all of it stays sealed inside zip-tied crates from packout to unpack. No exposure during transit. No “I think this box got mixed up” situations. 4. No assembly or breakdown. A 50-employee move has 200+ containers. The setup overhead for 200 cardboard boxes is 6+ hours of labor. Breakdown is another 4+ hours. Crates eliminate both ends. 5. Resumed productivity within hours. With crates dropped at the right department zones, employees unpack their own desks (15 minutes each) and resume work. With cardboard, you typically lose at least a full business day to sorting, finding things, and clearing debris.
How office crate rental works
The process is the same as residential but with a few B2B-specific touches: **1.
Site walk and quote.** For offices over 10 employees, we typically do a quick on-site walk-through (or a video walk via Zoom) to size the rental accurately.
Things like file room volume, IT infrastructure, and break room/kitchen contents all factor in. 2. Pre-move department mapping. A few days before the move, we coordinate on color-coding and labeling. Each department gets a color; each employee gets a number; each crate gets a label that says “Marketing | Workstation 12 | Top Cabinet.” 3. Crate delivery and packing window. We deliver crates 3–7 days before move day depending on office size. Employees pack their own desks (which takes 15–30 minutes each), and a coordinator handles shared spaces (file rooms, kitchens, supply rooms). 4. Move day. Movers load crates onto trucks in department-sorted order. At the new office, crates are placed directly at each department’s zone — not in a big pile in the lobby. 5. Unpack window. Employees unpack their own desks (another 15–30 minutes each); shared-space unpacking happens via the coordinator. Typical full-office unpack is 4–8 hours of total labor spread across the team. 6. Crate pickup. Once the new office is set up, we pick up the empties. No flattening, no recycling-bin trips, no debris.
Office package sizing
Our office packages scale by employee count and file/storage volume: | Package | Best for | Crates | Dollies | 3-week rental | |---|---|---|---|---| | Small office | 1–10 employees | 40–60 | 2 | from $299 | | Medium office | 10–25 employees | 100–150 | 4 | from $549 | | Large office | 25+ employees | Custom | Custom | Custom quote | All packages include color-coded adhesive labels, IT and file moving dividers, and reusable zip ties. We bill corporate accounts directly with net-15 or net-30 terms. For accurate sizing, contact us — we’ll quote your specific office in 24 hours.
IT and server room moves
A specialized subset of office relocations: IT infrastructure and server rooms.
Crates protect IT equipment better than cardboard for several reasons:
- Rigid walls prevent flex impacts that can damage sensitive electronics
- Predictable internal dimensions allow custom foam inserts for delicate items
- Lockable lids maintain chain of custody for client data and sensitive files
- Stackable dollies for rack-mount equipment (we offer specialty IT dollies as add-ons)
For server room moves specifically, we coordinate with your IT team on:
- Anti-static handling for boards and components
- Cable inventory and labeling before disconnect
- Sequenced shut-down/transport/power-on windows
- Backup-and-restore checkpoints before the move starts
If your IT team is handling the technical side, we provide the physical transport solution.
If you need a coordinated IT-and-physical move, we can recommend KC-area IT relocation specialists who work alongside our crate delivery.
File rooms and document moves
Medical practices, law firms, accounting offices, real estate offices, and government contractors all face the same problem: thousands of paper files that need to move to a new location, stay in order, and maintain chain-of-custody.
Crates with file dividers solve this.
Standard rental crates fit letter or legal files vertically with built-in tabbed dividers (an add-on). Files stay in order; the crate stays sealed; the receiving end unpacks back into filing cabinets in the same sequence. For HIPAA-sensitive, attorney-client-privileged, or other regulated document moves, the lockable zip-tie seal provides verifiable chain of custody. We can document seal numbers at packout for compliance records.
Common KC commercial move scenarios
Plaza or Crossroads office relocation. Lots of these.
Building elevator windows and freight access are the constraint; crates compress the load time significantly.
Typical move runs 1–2 floors, 5–50 employees, single building-to-building transfer. Suburban office park move (Corporate Woods, Lighton Tower, Lenexa City Center, Oak Park Plaza). Easier truck access, more loading options, fewer elevator constraints. Often combined with new office buildout timing.
Medical or dental practice relocation. Specialty needs around equipment protection, file confidentiality, and resumption of patient care. Often coordinated with practice management software cutover and new-office setup.
Restaurant or retail relocation. Heavy inventory, fixed move dates tied to lease transitions, often weekend or overnight moves. Crates handle the inventory volume; dollies handle the heavy lift.
Property management bulk rentals. Recurring need for tenant turnovers. We offer fleet pricing for property management companies handling regular unit transitions.
