Medical, Dental & Lab Office Relocation Crates in Kansas City
Published May 16, 2026 · 6 min read
Plastic crate rental for KC medical practices, dental offices, and laboratory relocations — sanitized containers, chain-of-custody seals, file dividers, and same-day downtime.
Medical office, dental practice, and laboratory relocations have requirements that other commercial moves don’t.
Sensitive equipment, sensitive records, chain-of-custody documentation, and tight downtime windows because patients are scheduled. Crate rental is particularly well-suited to these moves — and we work with KC healthcare practices regularly.
What makes medical/dental moves different
Three things matter more in healthcare relocations than in standard office moves: Patient records and HIPAA compliance. Files containing protected health information (PHI) need to maintain chain of custody from packout to unpack.
Standard moving boxes don’t provide verifiable seals; plastic crates with zip-tie closures do.
We can document seal numbers at packout for your compliance records.
Sensitive equipment. Dental equipment, lab analyzers, imaging accessories, sterilization equipment, surgical instruments — these have specific transport requirements. Crate rigid walls protect better than cardboard; custom foam inserts (we can source) protect specific items.
Downtime cost. A medical practice losing a day costs significantly more than most office relocations. The faster you can resume patient care, the better. Crate rental’s compressed move window matters more here than almost anywhere else.
How a typical
KC medical move works **1.
Pre-move planning (4–6 weeks out):**
- Site walk at current and new locations
- Equipment inventory with transport requirements documented
- Chain-of-custody protocol confirmed with your compliance team
- Patient communication plan for the downtime window
- Crate quantity and specialty container needs identified **2.
Pre-move (2 weeks out):**
- Color-coded labeling system established (by department, by exam room, by equipment type)
- Crate delivery scheduled
- Final-patient appointments at current location
- Movers booked (with COI for both buildings) **3.
Crate delivery and packing (1 week out):**
- Crates delivered to current office
- Staff packs non-clinical items (administrative, break room, office supplies) during business hours
- Clinical items packed after final patient appointment, ideally over a weekend **4.
Move weekend:**
- Movers transport on
Friday evening or Saturday
- New location setup begins
Saturday with staff
- Equipment installation and calibration
Sunday
- Final inspection and dry-run Monday morning **5.
Reopening (Monday or Tuesday):**
- First patients seen at new location
- Continued unpacking of non-critical items during business hours
- Crate pickup scheduled for end of week A well-planned KC medical move runs from
Friday close-of-business to Monday morning patient appointments — a 60-hour window.
Crate rental’s compressed packing and unpacking timeline is what makes this possible.
What we provide for medical moves
Sanitized crates.
Every crate is sanitized between rentals using CDC-recommended surface protocols.
We use eco-friendly cleaners and inspect every crate for damage before redeployment.
File dividers. For paper-records moves (still common in many KC practices), our crates accept letter and legal file dividers (an add-on).
Files stay in alphabetical or numerical sequence from packout to unpack.
Lockable lids. Standard zip-tie seals provide verifiable closure for HIPAA chain of custody. We can document seal numbers at packout for compliance records.
Color coding. Color-coded adhesive labels enable instant departmental sorting at the new location. Reception, exam rooms, sterilization, lab, business office — each gets a color.
Specialty dollies. IT equipment dollies and reinforced dollies for heavier items (sterilization equipment, dental chairs) are available as add-ons.
Specific use cases in
KC Dental practice relocation. Dental chairs and equipment require disassembly and specialty transport (we coordinate with dental equipment installers).
Operatories’ instruments, supplies, and small equipment travel in crates with foam inserts.
Sterilization and lab areas need dedicated crate counts. Medical practice relocation (primary care, specialty). Exam-room supplies, lab equipment, controlled-substance storage (where applicable), patient files (paper-based practices), and administrative office contents.
Lab relocation. Sensitive analyzers, calibration equipment, chemical storage (within transport-safe limits — we don’t move hazmat), and laboratory supplies. Crates protect equipment but lab moves often require specialty handlers for the analyzers themselves.
Hospital department moves. Within-hospital department relocations (renovations, expansions) often use crates to compress timeline while patient care continues in nearby areas.
Imaging/radiology offices. Imaging equipment requires specialty movers. Surrounding office supplies, scheduling records, and patient files move in crates.
What we don’t do
To be clear about boundaries:
- We don’t move the equipment itself for sensitive medical devices. Dental chairs, large imaging equipment, sterilization systems, and specialty analyzers need equipment-trained movers.
- We don’t transport hazmat or controlled substances. Crates aren’t the right tool for chemical, biological, or DEA-regulated transport.
- We don’t handle compliance certification. We provide the physical transport solution; your compliance officer or HIPAA-trained mover handles documentation.
For full medical office relocations in KC, we recommend partnering with a healthcare-specialty mover (Move for Hunger Healthcare Movers, Two Men and a Truck Healthcare Division, etc.) for the equipment side while we handle the supplies, files, and administrative move.
